Privacy Policy

This Privacy Policy explains what data Leadzify collects, how we use it, who we share it with, your rights, and how we protect it.

1. Who We Are & Scope

Leadzify is a business growth service for local businesses. Leadzify.com ("Leadzify," "we," "us," "our") is a DBA of RKS GROUP WA PTY LTD, Australia. This Policy applies to: (a) business owners and operators who purchase or enquire about our services ("Clients"), (b) end customers whose data flows through the services we run on a Client's behalf ("End Users"), and (c) visitors to leadzify.com.

2. Data Controller & Contact

For data you provide directly to us (enquiries, bookings, account and billing details), Leadzify is the data controller. For End User data we process while running the CATCH System on your behalf (calls, chats, bookings, lead lists, reactivation campaigns), you are the data controller and we act as your data processor. 3. Information We Collect

From website visitors and enquirers: name, business name, phone, email, business type, business description, city/area, postal code, existing website URL, preferred call times, anything you write in a form; your IP address; your consent record and its timestamp when you book a call; and lead-source attribution (referrer, UTM campaign parameters, landing page).

From Clients: account and billing details (payment card data is processed by our payment processor; we don't store full card numbers), business configuration (services, prices, hours, service area, how your receptionist should speak), and communications with us including onboarding-call notes.

From End Users, on a Client's behalf: contact details, call recordings and transcripts, chat and SMS message content, appointment and booking data, and lead status (qualified, booked, no-show, revived).

Automatically: standard server logs (IP, user agent, timestamps) and aggregated, non-identifying analytics. We use browser storage to remember where a visitor first came from (lead-source attribution); we do not use third-party advertising trackers or cross-site tracking pixels on leadzify.com.

4. How We Use Information

To deliver the service: answering calls and chats, booking appointments, sending confirmations and reminders, following up leads, running reactivation campaigns, requesting reviews, running advertising campaigns you've approved, and building/hosting your website. To communicate with you about your enquiry, booking, billing, and service updates. To improve the service using aggregated, anonymized analytics. To comply with legal obligations and protect the service against fraud and abuse.

What we don't do: sell your data, sell your customers' data, share either with advertisers, or use your customer lists for anyone's benefit but yours.

5. Consent, Calls & Messages

When you book a call or submit a form on leadzify.com, you agree to receive SMS and email communications from Leadzify regarding your booking and related services; we record that consent along with its timestamp and your IP address. You can opt out at any time by replying STOP to any SMS, using the unsubscribe link in any email, or emailing info@leadzify.com. For campaigns we run on a Client's behalf, the Client is responsible for having appropriate consent to contact the people on their lists (see our Terms of Service).

6. AI-Powered Features & Your Data

Parts of the service — including 24/7 call and chat answering — are powered by a mix of vendor large-language-model providers and our own configurations. Conversations processed through the service are not used to train external AI models; we use vendor privacy controls that exclude client data from training pipelines. We may use anonymized, aggregated patterns (e.g., average answer times) to improve the service; this never includes identifiable data from any business.

7. Sharing & Sub-Processors

We share data only with sub-processors that help deliver the service, including: our CRM and communications platform (HighLevel) for contact records, calendars, SMS and email; our website hosting provider (Vercel); telephony/SMS carriers; LLM vendors for answering features; our payment processor (Stripe) for billing; and advertising platforms (e.g., Meta) strictly for campaigns you've approved. We may also disclose data to professional advisors under confidentiality, to legal authorities when required by valid legal process (we notify you where legally permitted), or to a successor in a merger or sale of assets, on notice to you. We don't sell, rent, or trade your data.

8. Data Retention

We retain data for as long as your relationship with us is active. If you cancel, your lead and customer data is exported and handed over to you on request. After cancellation we delete or anonymize personal data within a reasonable period, except where law requires longer retention (e.g., billing and tax records). Aggregated, anonymized analytics may be retained indefinitely.

9. International Transfers

Leadzify is operated from Australia. Data may be processed in Australia, the United States, and other jurisdictions where our sub-processors operate. We comply with the Australian Privacy Principles (APPs); for personal data from the EU/UK we rely on Standard Contractual Clauses; for California residents we comply with the CCPA/CPRA.

10. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or export your data, object to certain processing, withdraw consent, and lodge a complaint with a supervisory authority (e.g., the Office of the Australian Information Commissioner). Email info@leadzify.com; we respond within 30 days. For End User requests, contact the business you dealt with first — we'll work with them to fulfil the request as required by law.

11. Security

We use industry-standard safeguards: encryption in transit, access controls on production systems, and confidentiality obligations for all personnel and sub-processors. No system is impenetrable; if we suffer a security incident affecting your data, we will notify you without undue delay with the nature of the breach and the measures taken.

12. Children

The service is not directed at children under 13 and we do not knowingly collect their personal information. If you believe a child has provided us information, contact info@leadzify.com and we will delete it.

13. Changes

We may update this Policy from time to time. Material changes will be communicated by email to Clients at least 30 days before taking effect. Continued use after the effective date constitutes acceptance.
